Comprehensive Tenant or Contract-Holder Referencing Using HomeLet Referencing, a leading provider in tenant referencing, we perform detailed checks on each applicant, including credit history, income verification, affordability assessments, landlord references, CCJs, and Right to Rent checks. If a guarantor is required, they undergo the same rigorous screening to uphold our high standards.
Securing Contract-Holders' Holding Deposits We secure holding deposits in full compliance with The Renting Homes (Fees Etc.) (Wales) Act 2019, ensuring all processes are handled transparently and in line with legal requirements.
Legal Contracts & Notices We draft robust ARLA-approved contracts, negotiate contract clauses, and provide all necessary legal certificates and notices to ensure full compliance
Tenant or Contract-Holder Check-In We welcome tenants or contract-holders into their new homes with an in-person check-in, clearly explaining their responsibilities and the expectations of the contract. Additionally, we test smoke and CO2 alarms and obtain signatures to confirm their functionality.
Utility Providers Notification Electricity, gas, and water meter readings are taken and recorded. The relevant utility providers are notified with the opening readings, and the appropriate council tax office is informed.
Landlord Tap registration Register new tenant’s or contract-holder’s personal details with Landlord Tap to ensure full compliance with regulations.
Collection of First Month’s Rent We collect the first month's rent and deposit it into designated client account.
Security Deposit (Bond) and Registration We collect the full security deposit (bond) and register it in compliance with deposit rules and regulations.
Legionnaires' Disease Compliance We conduct a Legionnaires' disease risk assessment to ensure the property meets health and safety standards.
Timely Rent Collection and Payments We ensure ongoing monthly rent payments are collected and deposited into our client account on the same day they are received. A detailed monthly rental statement is produced, outlining income and expenditure
Pursuing Non-Payment of Rent and Rent Arrears Advice We actively pursue non-payment of rent and provide landlords with expert advice on appropriate actions.
Property Inspections In line with best practices, inspections are conducted every six months, with more frequent visits if "red flags" or major concerns are suspected. Detailed reports, including photographs, are provided to landlords
Maintenance Call-Out Service Our Maintenance Call-Out Service ensures your property is attended to quickly and professionally, resolving maintenance issues as they arise.
Arranging Routine Repairs We coordinate routine repairs by instructing approved contractors and, where applicable, providing three quotes to ensure competitive pricing
Emergency Out-of-Hours Service Our Emergency Out-of-Hours Service offers tenants or contract-holders urgent support outside of regular working hours. Whether it’s a burst pipe, power outage, or any other urgent issue.
End of Fixed Contract Negotiation We handle contract extensions by negotiating terms, drafting and renewing contracts, and ensuring all necessary documentation is completed to maintain compliance.
Annual Rent Increases We negotiate annual rent increases by evaluating market conditions, issuing rent increase notices to tenants or contract-holders in line with legal requirements, and updating contracts as needed.
Pre-Check-Out Inspections We conduct a pre-check-out consultation to address any potential issues before the final check-out
Tenant Check-Out Coordination We manage the tenant check-out process, including final inspections against original inventory ensuring the property is returned in good condition.
Final Utility Meter Readings We record final utility meter readings and promptly inform the relevant utility providers. Additionally, we notify the appropriate council tax office and update the Landlord Tap register.
Security Deposit Dilapidation Negotiations If applicable, we negotiate security deposit deductions for dilapidations, mediating between landlords and tenants or contract-holders to ensure fair and amicable resolutions.
Property Refurbishment Advice We provide expert advice on property refurbishment, offering cost-effective recommendations to enhance its appeal, maximise rental income, and increase long-term value. Our guidance ensures improvements align with market demands and landlord goals.
Key Management We securely hold a key to the property throughout the tenancy term, ensuring access for inspections, maintenance, and emergencies as required.
Non-Resident Tax Status and HMRC We provide guidance on non-resident tax obligations, including compliance with HMRC requirements, to ensure landlords meet their legal responsibilities where applicable

By having an accurate and unbiased inventory in place, both landlords and tenants are protected against potential disputes over damages or missing items at the end of the contract.

A comprehensive inventory is crucial for ensuring transparency and fairness. It helps to safeguard deposits, supports claims in the event of any disputes, and provides peace of mind for all parties involved. Without a professional inventory, landlords may find it difficult to substantiate claims for deductions, and tenants may lack evidence to contest unfair charges.

Once we have checked in the tenant or contract-holder into the property, we will forward all the relevant documents and the check-in checklist to you for your records. At this stage, your property is fully compliant, and you are ready to take over its full management, confident that all legalities have been addressed.

Please note, it is your responsibility to legally protect the tenant’s deposit with a government-approved deposit protection scheme within 30 days of the tenancy starting. Additionally, you must provide the tenant or contract-holder with the required legal documents associated with the deposit protection. This ensures compliance with tenancy regulations and avoids potential legal issues.
